Randwick Scout Group is managed by a Group Executive Committee, which meets once a month and consists of a Chairperson, a Secretary, a Treasurer, leaders and parents. All members are Trustees of the charity and they are responsible for maintaining the Scout HQ building and ensuring that the Scout Group has the facilities and resources needed to deliver good Scouting in the Group.
The Group Secretary issues agendas and minutes for all executive committee meetings, as well as the AGM which is held each summer. No previous secretarial experience is required, this role just needs someone who is good at notetaking and keeping records. You don’t need to have been in Scouts before – it’s fine if you’re completely new.
The time commitment is roughly an hour a week plus attendance at the monthly meetings.
Main duties of the role:
· To provide secretarial and administrative support to the Group Executive Committee; including issuing of agendas and taking minutes for Committee meetings and Annual General Meeting.
· Issuing minutes and making them accessible to our group members in a timely manner.
· Work closely with and support the Group Chair.
· Ensure completion and submission of Charity Commission Annual Return
· Email Group Scout Members to source volunteers for Group fundraising events (e.g. The Wap, Annual Carboot Sale)
· Arrange for grass cutting at Randwick Scout HQ as and when required (maintaining grass cutting volunteers list).
