ROLE AND RESPONSIBILITIES
FACILTIES AND SECURITY MANAGER AND DEPUTY (2 APPOINTMENTS)
ROLE:
Jet Age Museum engages with people in Gloucestershire and beyond to foster and inspire interest in the aviation history of the County from the earliest days of flight, through the birth of the Jet Age to the modern aerospace industry of today. We are a family friendly community museum run by exclusively by volunteers and registered as a charity and a company more formally known as the Gloucestershire Aviation Collection. The Museum’s aim is to preserve our rich aviation heritage and inspire the future of aviation in the County.
The role of the Facilities and Security (F&S) Manager is to manage the day-to-day facilities and security matters of the Gloucestershire Aviation Collection Charity and its public facing activities at Jet Age Museum. The role involves working closely with duty and other departmental managers, including the HASAW and Radiation Safety leads, as well as the Facilities & Safety Trustee. The aim is to ensure that all property and grounds maintenance, security, fire safety and environmental requirements are met to make the Museum a safe place for exhibits, volunteers and members of the public.
RESPONSIBILITIES:
Leading the F&S team to deliver routine security and maintenance of the Jet Age Museum site to ensure full compliance with public liabilities and to enable effective Museum operations in opening to the general public.
Applying relevant requirements of the Regulatory Reform Fire (Fire Safety) Order 2005 in order to maintain the Museum’s Fire Safety Certificate.
Liaison with CCTV/security alarm contractor.
Applying duty of care to all F&S team members ensuring that they follow procedures relevant to their tasks as detailed in appropriate guidance.
Outsourcing maintenance support to external contractors in cases where tasks require specialist skills / are beyond competences of the in-house volunteer team, and ensuring supervision of external contractors while on site.
Monitoring contracts for supply of electricity, water/sewerage, cleaning and refuse collection.
Managing an agreed delegated F&S budget, seeking approval as necessary for expenditure beyond set limits of spend. Authorising use of debit cards issued to named F&S volunteers to make purchases for F&S.
In conjunction with the Trustee - Facilities and Safety, planning and executing routine/planned maintenance, and commissioning new works, for both buildings and grounds in compliance with the Jet Age Forward Plan.
Promptly responding to official (HMG) security notifications and/or advice from Museum Development South West and to no-notice/urgent maintenance issues.
Regular communications to all stakeholders in Jet Age Museum regarding the status of current and future Facilities activity.
Compliance with Jet Age Museum Forward Plan and policy statements on: Health and Safety at Work, Fire and Radiation Safety, Evacuation, and Environmental sustainability, contributing to compilation and currency of same.
Control of main entrance security keys issued to duty managers and other selected volunteers.
Maintenance of the Museum’s Emergency and Security plan.
Attending Executive Committee meetings, chairing same in rotation with peers.
SKILLS/INTERESTS NEEDED:
A background in facilities management, building security and fire safety regulations. empathy with a volunteer-run organisation, awareness of contract negotiation and tendering. Experience in the charitable sector would an advantage but is not essential. An interest in heritage and aviation is desirable but not essential.
TRAINING OFFERED:
In addition to Museum Induction course and internal OJT, the opportunity to take part in external training courses provided by Museum Development South West and other providers can be offered.
TIME COMMITMENT SUGGESTED: As negotiated with the Trustee – Facilities & Safety. In reality, flexibility is key, there are no set hours for the FMS lead but recent experience has illustrated an average of 15 hours per week, divided 50:50 between on site and at home contributions. Regular visits to the Museum during NODs and non-opening days will be required to maintain a awareness of ongoing FMS tasks and those in planning. In addition, there will be a readiness to respond to no-notice repair requirements.
LOCATION: At the Museum and from home as agreed with the Trustee - Facilities & Safety.
