Detailed description

The Administration Assistant provides essential support to ensure the efficient day-to-day running of the Western Depot. Within a busy friendly volunteer-led environment, the role provides administrative support particularly for data entry and project /programme management updates.

 

Accountable to: Western Depot Manager

Working with: Team Leaders,

Volunteers, CCT /SVCC office staff, suppliers.

Location: Western Depot near

Eastington

Required Hours: Working between 14 and 18

hours ideally over 2 or 3 days between Monday and Wednesday.

 

Duties and

responsibilities:

·      

Responsibilities

include:

·      Maintain the CCT asset management data base system. Updating vehicle, plant and other maintenance records, generating outstanding maintenance tasks, maintaining LOLER records, inputting PAT results for electrical equipment.

·      Managing MS project planning tools for all CCT projects, helping Project and Activity leaders generate MS project plans and maintaining them for input to the Project Board.

·      General office support and assistance to the Western Depot Manager and WD Administration Manager. The post holder will liaise with volunteers, the Trust Office and suppliers, placing and progressing orders, reconciling invoices and credit card statements.

Skills & Attributes:

·      

The ideal candidate will have strong

organisational and communication skills, with the ability to manage multiple

tasks efficiently and accurately.

·      Familiarity with Data base systems and MS Project is required or training will be provided.

·      A confident and friendly manner, particularly when dealing with volunteers and visitors, is essential. Familiarity with Microsoft Office and general office systems is desirable, along with a proactive approach and a willingness to work flexibly as part of a team.

The Cotswold Canals Trust is a volunteer-led charity made up of hundreds of people working together, sharing expertise and energy to save our heritage and improve our local environment for the benefit of everyone.
Since the 1970s, volunteers have undertaken restoration and maintenance of the Cotswold Canals. With work now started on Phase 1B and exciting projects planned for Phase 2, we need more volunteers than ever to help achieve our goal of preserving, maintaining and improving the Stroudwater Navigation and the Thames & Severn Canal (i.e. the Cotswold Canals).
We have so many opportunities available from scrub bashing along the canal, dredging, operating a trip boat, sorting books at one of our bookshops to designing lock gates, the list is endless.
